AI-Powered Scanning

Two modes: Quick Scan (on-device OCR, offline, Pro) and AI Scan (reads any format — customers, dimensions, quantities, profiles — Business). No templates, no format rules.

From work order to cut list in seconds

A real handwritten work order, scanned and parsed into the cut optimizer — no typing, no templates.

Quick Scan vs. AI Scan — Which One Do You Need?

RailChop gives you two scanning modes, each designed for a different workflow. Quick Scan uses on-device OCR to read dimensions from standard printed cut lists — the kind with rows of measurements. It's fast, works offline without an internet connection, and is included with Pro. If your work orders are always the same printed format with just dimensions and quantities, Quick Scan is plenty.

AI Scan is the step up: it reads anything. Handwritten work orders, POS printouts, custom shop forms, printed index cards — whatever structure is on the page. AI Scan extracts customers, dimensions, quantities, and profile names simultaneously. If your work orders include customer names and profile codes, or if they're handwritten or vary in format shop to shop, AI Scan eliminates manual re-entry entirely and cuts your scan time from minutes to seconds. Once scanned, jobs go straight into the cut optimizer.

What AI Scan Actually Reads

Point your camera at any work order. AI Scan extracts every job on the page: customer name or reference, frame dimensions (including fractions), quantity, and moulding profile. It handles whatever structure is on the page — no templates, no format rules. Customer names are transcribed faithfully, including abbreviations, proper nouns, and unusual spellings — exactly as written on the page.

Profile names are matched against your profile library or flagged for quick assignment if they're new. The system learns: if you create a profile from a scanned name once, the next time AI Scan sees that name on another work order, it recognizes it and auto-assigns the correct profile. This means the first few scans teach the system your shop's naming conventions, and after that, matching gets progressively smarter.

Multi-Profile Matching — Per Job, Not Per Order

Most work orders have multiple jobs using different profiles. A single order might include a plain moulding frame, a painted frame with a lip, and a fabric-wrapped frame — three different profiles. Most scanning systems would ask you to pick one profile for the whole order, forcing you to manually split and reassign later.

AI Scan identifies which profile belongs to which job individually. On the confirmation screen, jobs are grouped by profile — matched jobs appear under their profile name, unrecognized profiles are flagged with the text from the page and a quick-create option. You confirm, correct if needed, and proceed. No bulk assignment that misses nuance. A 10-job order with 3 profiles gets organized into 3 groups in a single view, ready to save or edit.

Privacy and Security

Every AI Scan request is cryptographically signed before it leaves your device and verified on our end, so the request can be trusted as coming from your app and not tampered with in transit. Photos are processed by our AI service and immediately discarded — nothing is stored on our servers. Your work order data stays private and on-device, even during the scan process. Scan quotas are enforced server-side as part of normal subscription management.

Scan Speed and Reliability

Most AI Scans complete in under 5 seconds, even with longer work orders. The system is built for redundancy so scans stay fast and reliable across normal day-to-day use without sacrificing accuracy.

Scan not reading your work orders cleanly? Every shop writes things differently, and we want RailChop to handle yours. If AI Scan is missing dimensions, mis-reading a customer name, or getting a profile wrong on your specific work order format, email a sample to help@railchop.com. We'll take a look, tune the system around it, and follow up — the more real-world formats we see, the better the tool gets for everyone.
